Instructions to Exhibitors- 2022

Welcome

Welcome to WAESOL 2022. The conference is at Highline College on October 22 from 8:00 a.m. – 5:00 p.m.

Please check this page again for updates, especially a day or two before the conference.

Before the Conference

Shipping Materials:
Unfortunately, the conference venue at Highline College will not be able to accept pre-shipped boxes this year due to staffing shortages.  Check with the your hotel about if you can ship items ahead of the conference.

Set up

  • The exhibitor area will be held once again in Building 8 (Highline Student Union), on the ground floor in the Mt. Constance Room.   See the campus map here.
  • Set-up time in the exhibitors’ area will be available 6:00 p.m. – 8:00 p.m. on Friday. Volunteers will be on site until 8:00 p.m. on Friday to assist you.  Please let me know if you plan to set up on Friday joan@waesol.org
  • You may also arrive early on Saturday to set up – the conference area will be open at 7:00 a.m. and coffee/light snacks will be served in the exhibit area at 8:00.
  • Your assigned tables will be clearly marked.
  • You may drive your vehicle directly up to the west side of Building 8 to unload. The easiest access is from the South or North parking lot. Following the sidewalk paths shown on the campus map.
  • After setting up, please break down any unwanted boxes and hand them to a volunteer for recycling. Empty boxes may be stored in the storage room for later use, but please do not leave any materials in storage after the conference.

Exhibit Tables

  • Tables will be the same as previous years – 5’ x 2’. Table coverings are not provided, so please bring your own. Electrical outlets will be available on a limited basis – one plug in per exhibitor. One chairs will be provided for each registered representative.
  • Exhibitors may not bring their own tables.
  • Free-standing tall racks are not allowed.  Table top racks are fine.
  • Tall banner signs must fit in the allotted space of 6 feet wide by 6 feet deep.  This includes the table.
  • Wireless internet access is available all throughout the campus. Information regarding WiFi access will be available when you arrive.

Getting there, Drop-off / Unload

  • You can drive up to the Student Union Building (Bldg. 8) for unloading purposes by entering through the back entrance of the parking lot off of 20th Ave.
  • From Interstate 5, take exit: 149 (coming from Seattle) or 149B (coming from Tacoma).
  • Proceed west on Kent-Des Moines Road across Pacific Highway S.
  • Turn left (south) onto 20th Ave S.
  • Turn left at Highline College’s North Parking Lot
  • Follow the road along the edge of the parking lot until you come to a Do Not Enter sign.
  • Turn right at the sign and make a slight jog to the left when you come to Building 24
  • Just ahead you will see the Student Union Building on your left.
  • Unload here, then move your vehicle to the parking lot.

Parking

After unloading, you may park in the North, East or South Parking Lots. A map of the campus and parking area is available HERE.

No parking permit is required for Friday or Saturday.

Lunch

A buffet lunch on Saturday is included for all registered participants. Your conference badge will be your lunch ticket.

Lodging

Highline College is conveniently located only 4.28 miles from SeaTac airport. A $105 Conference rate has been arranged in Kent.  See the Conference Lodging page for booking information.  Book by October 7th for the special rate.

After the Conference – Packing Up

  • Highline College will not be able to provide shipping this year due to staffing shortages.
  • Please break down any unwanted boxes and hand them to event staff or volunteers for recycling. PLEASE dispose of all trash and do not leave any materials in the exhibit area or storage room.
